Music Therapy Clinical Coordinator

The music therapy clinical coordinator will develop, implement, and evaluate a music therapy program for patients and families. The clinical coordinator is responsible for the initiating and supporting work efforts that maximize quality, safety, and services. Foster positive and professional interpersonal relationships with patients/families, physicians, hospital staff, community representatives, and visitors. Effectively use interpersonal communication skills to promote a healing environment. Coordinators will be responsible for clinical supervision and support of music therapy staff. Will be responsible for assisting departmental leadership with supervisory responsibilities and will represent music therapy practice at an organizational level.

Qualifications

Minimum Education
Bachelor’s Degree Post Bachelor’s degree (Required)
Master’s Degree Post Master’s degree (Preferred)

Minimum Work Experience
6 years Minimum of at least 6 years clinical experience in a complex medical setting or similar, supervisory experience (Required)

Functional Accountabilities
Direct Patient Care

Work with patients, families, and staff to understand the needs of assigned inpatient and outpatient population in relation to a music therapy program
Meet individual patients and families to explain music therapy program, invite participation and answer questions.
Assess individual and/or group needs and identifies goals based on assessment.
Develop plan for music therapy interventions for individuals and groups.
Designs and provides individual and group music therapy interventions and evaluates outcomes.
Timely document of interventions in patient medical record according to standards developed for music therapy documentation.
Obtain and maintain an age-appropriate and safe selection and quantity of supplies, equipment, and other materials for program
Prioritizes own caseload daily in order to meet both patient, supervisory, and departmental needs
Participates in the weekday, weekend, and on-call rotation, as assigned
Regularly maintains patient care documentation in accordance with standards
Demonstrate the ability to respond to multiple demands at once and prioritize and delegate appropriate tasks to facilitate efficient and safe patient care.

Patient Experience

Fosters environment for patients and families to feel heard and understood, anticipates patient and family needs, and ensures needs are met.
Collaborates with service line team and other professionals to provide activities, special visitors, events, and entertainment to patients and families hospital-wide
Supports and chaperones special visitors to assigned areas of hospital
Assists service line team, assigned area of hospital, and/or department with intake and distribution of donations of toys and other items
Interdisciplinary Collaboration

Collaborates with interdisciplinary healthcare team in order to provide optimal/well-coordinated care and advocate for patient and family needs
Uses formal and informal methods of communication to share assessments, interventions, and evaluations, as appropriate
Maintains communication with interdisciplinary team members to coordinate care and engage in consultation regarding patient care
Provides referrals to internal or community resources for patients and families as needed
Actively work to integrate music therapy programs with other psychosocial services and within the medical team/organization.
Work with other hospital programs to ensure well-coordinated care for patients and families.
Work with relevant departmental and hospital staff to address patient or systemic problems that arise.
Program Development & Promotion

Provides clinical supervision to students/interns and new staff through experiences, instruction, mentorship and feedback.
Provides training, supervision, and feedback, and facilitates patient interaction to volunteers.
Presents in-service trainings on role and impact of music therapy to departments or assigned areas, increasing understanding of importance of service
Adheres to budget set and outlined by Manager/Director
Manages resources of assigned area of music therapy team and hospital and ensures consistent supply of resources.
Design systems and measures to evaluate the effectiveness of program.
Maintain organized records, statistics, and surveys of the program.
Develop, update, and implement appropriate materials to promote the music therapy program.
Continue evaluation, development, and design of measures to evaluate the effectiveness of the music therapy program.
Participate in setting goals and priorities for the music therapy program.
Evaluate and update appropriate documentation standards to reflect music therapy assessments and interventions.
Orient, train, supervise and evaluate new staff and students/interns, as assigned
Assist with activities to fund the program (grant-writing, support fundraising events/activities)
Participates in research projects related to music therapy activities and interventions.
Works with public relations, marketing, communications, foundation, and other hospital departments to promote the program internally and externally, as appropriate.
Attends and participates in opportunities that complement and enhance professional development.
Professional Development

With Manager/Director, establishes annual goals and independently works to meet those goals.
Participates as member of assigned area or department committees as deemed appropriate.
Further enhances the field of music therapy and understanding of the profession by supporting and participating in hospital initiatives

Daily Operations

Create and maintain a climate which stimulates professional growth and development by providing personal and professional mentoring and support to all staff and students.
Participate in auditing/evaluation of documentation of others: identify areas for improvement
Identify, report and resolve unit/area problems/issues or conflicts with patients, families and staff, keeping manager aware of results.
Ensure compliance with all regulatory standards.
Participate in monthly leadership meetings
Responsible for scheduling unit staff in accordance with master scheduling, collaborating with staffing pattern changes, FMLA, vacancies and holidays
Identifying and understanding problems and opportunities by gathering, analyzing and interpreting quantitative and qualitative information; choosing the best course of action by establishing clear decision criteria, generating and evaluating alternatives, and making timely decisions taking the action that is consistent with available facts and constraints and optimizes probable consequences.
Coordinate the ordering and securing of supplies and equipment, as needed
Demonstrate knowledge and implement patient safety and quality improvements
Supervisory and Leadership Skills

Provide clinical supervision to music therapists, as assigned
Develop, evaluate, and update required departmental orientation, in services and trainings.
Monitor and ensure music therapy group compliance with employee based organizational requirements.
Manage; assist in coordination of large-scale departmental initiatives such as LEAN, discipline appreciation/celebration, education and training for MD, RN or other hospital staff.
Responsible for completion of annual performance check-ins for music therapists, as assigned, under the direction of Manager/Director
Assist in coordination of recruitment and selection process for the assigned location(s) and participates in final hiring decision.
Precept / supervise new employees
Collaborate with other clinical coordinators and manager to facilitate and oversee new hire orientation and onboarding process.
Participate in hospital work groups or on hospital committees to represent music therapy practice.
Implement staff recognition programs at the unit/program level in collaboration with leadership.
Assist the Manager in providing guidance to staff and may cover for the Manager in his/her absence.
Continually reviews and evaluates individuals’ practical application of knowledge, skills, providing additional training as required
Assures appropriate and completed documentation of staff
Supports leadership decisions and initiatives in a positive manner
Actively participate in policy and documentation revisions/creations
Participates in reviews of staff and gives constructive feedback through timely participation in evaluations
